Help for Participants, Managers and Feedback Givers

Practical help for people using Smart Minds 360 in the current flow: what each role does, what to expect next, and where to look in the platform.

These answers are written for everyday platform users, not administrators. They explain the current process in plain language.

Access and role switching

Use one account. Your active role determines the menu, task list and available pages.

Why does the menu change after I switch roles?

Each role has its own workspace view. Participant, Manager and Feedback giver each show different actions because the process is different for each role.

I have more than one role. Which one should I open first?

Open the role that matches the task you need to complete right now: Participant for your own campaign steps, Manager for manager feedback, or Feedback giver for survey tasks.

Why can I not see one of my roles?

Only roles currently assigned to your email in that workspace are shown. If you expected another role, contact your internal campaign contact.

Can I use one account for everything?

Yes. One login can hold several roles. You do not need separate accounts; just switch roles when needed.

Participant journey

The participant dashboard is where you follow your own campaign steps from start to finish.

What should I do first as a participant?

Open My Campaigns and use the help ? button on the page. The campaign card shows the available actions, such as nominations or self-feedback, while help explains what the current page is for.

How do I know whether I need to choose feedback contacts or complete self-feedback?

The active campaign status and action buttons show what is currently open for you. If nothing is open, your part of the process is either complete or not yet active.

What happens after I finish my participant tasks?

Your campaign remains visible while other people complete their parts. After that, reports are prepared and the feedback conversation is scheduled.

Where will I receive my results?

In the current flow, results are usually reviewed during a feedback meeting after the reports are ready.

Manager journey

Managers are part of the process when they have manager feedback tasks or campaign-specific approval steps.

What is expected from me as a manager?

Typically you complete manager feedback when it is assigned to you. Any report review or follow-up discussion depends on the campaign setup and may happen outside the platform.

Do I also give feedback myself?

Yes. In the current flow, the manager role includes giving manager feedback as part of the process.

Will I see reports in the manager role?

Report access depends on the campaign setup. If reports are not available for your manager role, the platform will only show your current tasks.

What if I do not see an approval step?

Some campaigns do not use manager approval. If no approval item is visible, continue only with the tasks that are currently open.

Feedback surveys and anonymity

Feedback surveys work best when the answers are practical, behaviour-based and honest.

What should I base my ratings on?

Use direct observation from real work situations. Focus on what you have seen the person do, not on general impressions or assumptions.

Are comments required?

No. Comments are optional. Add one when it helps explain the behaviour behind your rating.

When should I use No observation?

Use it when you do not have enough direct experience with that behaviour to rate it fairly.

Are my answers anonymous?

Reports use grouped results and do not show your name as an individual feedback giver.

Reports and follow-up

After surveys are completed, there is usually a short period before reports and follow-up discussions begin.

Why can I not see a new task or report yet?

Tasks appear according to the current campaign stage and your active role. Report access is controlled by campaign settings, so some roles may not see reports in the platform.

What does campaign closed mean for me?

It means the feedback submission window has ended. Open surveys are locked and the next step is report preparation and follow-up conversations.

Who can access reports in the platform?

Report access depends on the campaign setup. In some flows, only campaign administrators access reports in the platform and results are shared through follow-up meetings.

Who should I contact if something looks wrong?

Contact your internal campaign contact if a task is missing, the wrong role is visible, or a step does not match what you were told to do.

Open the dashboard for your active role and use the help ? button for page-specific guidance. If something still looks unclear, contact your internal campaign contact.
